What We Use Your Personal Data For
We process your personal data to:
• contact you and respond to your inquiries,
• provide our consultancy and administrative services (e.g. registration, allowances, student finance),
• prepare and manage service agreements, invoices, and direct-debit payments,
• maintain client communication during the contract period,
• meet legal obligations under tax, accounting, and consumer-protection laws,
• improve and document the quality of our services.
What Data We Collect
We only collect data necessary to deliver our services, including:
• identification details (name, birthdate, nationality, BSN if applicable),
• contact information (address, phone number, e-mail),
• education and work details (university enrolment, employer, contract or payslips where relevant),
• financial details (IBAN, invoices, benefit or allowance information),
• copies of identification documents where required by law,
• technical metadata (IP address, browser type) from online forms.
We do not collect or process sensitive data such as religion, health, or political views.

• Contractual necessity – to perform a contract or take steps before entering one,
• Legal obligation – to comply with Polish and EU tax and accounting laws,

Where Your Data Is Stored
All form and client data are securely stored using Jotform Ltd, a GDPR-compliant platform with EU-based servers.
We protect your data through encryption, two-factor authentication, and strict access control limited to authorized personnel only.
A data-processing agreement with Jotform ensures full compliance with EU data-protection standards.
Who We Share Data With
We may share your data only when necessary with:
• authorized team members (client support, accounting, administration),
• payment and invoicing providers (for SEPA direct debit or card transactions),
• legal, accounting, or IT partners acting under a data-processing agreement,
• public authorities if required by law (e.g. tax office, social-security institutions).
Data Retention
We keep your data:
• for the duration of your service agreement and up to 5 years afterward to meet accounting obligations,
• for up to 12 months after an inquiry if you do not become a client, unless you request deletion earlier,
• longer only if required by law.
Your Rights Under the GDPR
You have the right to:
• access your personal data,
• correct inaccuracies,
• request deletion (“right to be forgotten”),
• restrict or object to processing,
• withdraw consent at any time,
• lodge a complaint with the President of the Personal Data Protection Office (UODO) in Poland.
